How to write an invoice email

With copy-paste templates

The invoice does the accounting; the email does the persuading. A clear, friendly invoice email gets opened, gets understood, and gets paid. It doesn't need to be long — it needs the right subject line and a few specific details. Here's how, plus templates you can copy.

Start with a clear subject line

The subject line decides whether your email gets found later, when the client is actually ready to pay. Make it specific:

  • Invoice INV-0007 from [Your Name] — due 30 Sept
  • [Your Business]: Invoice for [project] — $450

Including the invoice number, your name and the due date means the client can search for it in one go.

Keep the body short and specific

Three things belong in the body: what it's for, the amount and due date, and how to pay. Add a warm opening and closing line and you're done — nobody needs a paragraph to pay a bill.

Template: sending an invoice

Hi [Client name],

Thanks again for [the project / your business] — it's been a pleasure. Please find invoice INV-0007 attached for $450, due by 30 September.

You can pay by [bank transfer / PayPal / the payment link on the invoice] — details are all on the invoice. Any questions, just reply here.

[Your name]

Template: following up on a late invoice

Hi [Client name],

Just a friendly nudge that invoice INV-0007 for $450 was due on 30 September and is now a few days overdue. If it's already on its way, thank you — please ignore this. If not, you can pay via [method/link] on the invoice.

Let me know if anything's holding it up and I'll help.
